Job Description

Danson Décor Inc is the Leader in Import / Distribution of Seasonal Decorations designed for commercial Holidays. In business for over 85 years the company now sells over 10,000 decorative items throughout all Canada.The objective of the Administrative assistant is to offer a supporting role to the art department in getting the proper information in order for projects to be done in a timely manner.Reporting to the Graphic Manager, the Coordinator will assume the following tasks:

  • Manage and analyze timeline of all incoming projects using Asana management software.
  • Requests die lines, UPC codes, technical specs, references and any other missing information from Category Director or Sales Manager in order to add it in Asana.
  • Entering all incoming jobs into Asana and assigning these to the Graphic Manager to distribute. (See Asana procedures below)
  • Extract on a weekly basis or when advised of any updates, Item details from SAP and save in the SAP DATABASE folder for the Graphic Artists.
  • Participating in new line products, electrical product selection meetings (aware of the various nuances in the new line of product. (product/packaging compliance)
  • Once items are properly created, the Coordinator must run a report for all items in creation to ensure photos are up to standard with the correct icons.
  • Prepare the list of new items that require new artworks. If the Category Manager advises any changes require on old artwork, the Admin. assist. must also prepare those lists.
  • Breakdown a list of ‘Artwork to do’ into different excel categories and entered in Asana. (See Asana procedures below)
  • Make any photo corrections necessary and save in full images bank
  • Verification and artwork approvals
  • Update database of specs and information for the graphic department.
  • Manage private labels
  • Quality control modifications
  • Ensure all artwork is completed 30 days after issuing the PO.
  • Coordinate and organize mood shots and video for special request.
  • Follow up on deadlines with Graphic Manager and inform the managers if deadline can be met or not.
Asana Procedures:
  • Create a card for each job.
  • Assign each card to the Graphic Manager at which point he will distribute the jobs.
  • Assign a due date for each card.
  • Each card should include the following: The contact’s name of the manager that requested the job, Each card should also include the following, when applicable: Die lines, UPC codes, Technical Specs
  • References – Usually, we have SKU’s that have already been done so please include reference points
  • Any missing information from factories, managers, or any other nuances encountered from the product selection meetings
Education and/or Work Experience Requirements:
  • Organizational and strategic planning ability
  • Ability to multitask, work in a fast-paced environment and meet deadlines.
  • Well versed in project lifecycle, project coordination and project management.
  • Demonstrate ability to work independently under pressure, managing several projects simultaneously with minimal supervision.
  • Technically savvy, results-oriented, and quality focused
  • Passionate, positive, ‘CAN DO’ attitude.
